Job Overview

We are seeking a highly organized, detail-oriented, and customer-focused Customer Service Representative to join our growing medical device manufacturing team. This individual will work closely with our current Customer Service Representative through a comprehensive transition and training period before assuming full responsibility for the role upon the incumbent's retirement at the end of 2026. As a critical link between customers, sales, production, shipping, and our parent company, this position plays a vital role in ensuring the accurate and timely processing of customer orders while maintaining the highest standards of service and quality. The ideal candidate is comfortable working in a fast-paced environment, can manage multiple priorities simultaneously, and is capable of working independently after completing the training period. Experience with Microsoft Dynamics 365 (D365) is strongly preferred.

Pay: $23.50 - $26.50 per hour


Your Tasks:

Customer Service & Order Management 

  • Serve as the primary point of contact for customers via phone, email, and other communication channels. 

  • Receive, enter, process, and monitor customer orders accurately and efficiently. 

  • Provide customers with order acknowledgments, shipment updates, delivery information, and product-related support. 

  • Respond professionally to inquiries, requests, and customer concerns. 

  • Route customer inquiries and calls to appropriate departments when necessary. 


 Operations & Production Coordination 

  • Act as the central liaison between Sales, Production, Shipping, Purchasing, and Quality departments. 

  • Coordinate order priorities and communicate customer requirements to internal teams. 

  • Monitor order status and proactively identify and resolve issues that may impact delivery schedules. 

  • Support production planning efforts by maintaining accurate order information. 

  • Coordinate communications and information flow with the company's parent organization. 


 ERP System Management 

  • Utilize Microsoft Dynamics 365 (D365) to process orders and maintain customer records. 

  • Ensure data integrity and accuracy within ERP systems. 

  • Generate reports and provide information to support operational decision-making. 

  • Participate in continuous improvement initiatives related to ERP processes and workflows.


Administrative & Documentation Responsibilities 

  • Maintain accurate customer files, records, and correspondence. 

  • Prepare and distribute routine reports and documentation. 

  • Support auditing, quality, and regulatory documentation requirements as needed. 

  • Adhere to company procedures and quality system requirements.


Your Profile:  

  • Minimum 3 years of customer service, order management, inside sales support, or administrative experience in a manufacturing or industrial environment. 

  • Strong verbal and written communication skills. 

  • Excellent organizational and time-management abilities. 

  • Demonstrated ability to multitask and manage competing priorities. 

  • Strong computer proficiency, including Microsoft Office (Outlook, Excel, Word). 

  • High degree of accuracy and attention to detail. 

  • Ability to work independently with minimal supervision after training. 

  • Proven reliability, accountability, and strong work ethic. 


 Preferred 

  • Experience using Microsoft Dynamics 365 (D365).

  • Experience using Microsoft Navision (Dynamics NAV). 

  • ERP, MRP, or business system experience in a manufacturing environment. 

  • Experience supporting medical device, healthcare, pharmaceutical, or other regulated industries. 

  • Familiarity with production scheduling, inventory management, and shipping processes. 

  • Associate's or Bachelor's degree in Business, Operations, Supply Chain, or a related field.
